 The Executive Assistant will partner with the executive leadership team. The person will be focused on anticipating the needs of the executive team and proactively addressing opportunities to improve the efficiency of the team.

Our ideal candidate has previous experience as an Executive Assistant and is very familiar with office management technologies. The Executive Assistant’s main duties include project work, scheduling meetings, coordinating travel arrangements and organizing daily calendars. To be successful in this role, the person should be proactive, meet deadlines and communicate effectively.

Ultimately, the person should be able to identify and address the needs of executive leaders and perform administrative tasks to ensure our company’s workflow runs smoothly.

 Essential Functions Statement(s)

  • Anticipate the needs of the executive team and proactively addressing opportunities to improve the efficiency of the team
  • Proactively manage travel itineraries and schedule meetings or appointments
  • Prepare internal and external corporate documents
  • Lead and assist with corporate level projects and systems development
  • Coordinate executive communications, including taking calls, responding to emails and following up on meeting notes and action items
  • Arrange corporate events to take place outside of the work place, such as workshops, customer events and staff appreciation events
  • Maintain an organized filing system of paper and electronic documents
  • Uphold a strict level of confidentiality
  • Develop and sustain a level of professionalism among staff and clientele
  • Become an integral part of the executive leadership team




  • High school degree or equivalent; additional qualifications as Personal Assistant are a plus


  • Strong organizational, project management and problem-solving skills with the ability to multi-task
  • Advanced Microsoft Office skills (Excel, PowerPoint, Visio, Outlook) with an ability to become familiar with firm-specific programs and software. Tech-savvy.
  • Proficiency in collaboration with a friendly and professional demeanor
  • Exceptional interpersonal skills
  • Task oriented and results driven
  • 4+ years of experience as an Executive Assistant reporting directly to senior management

 Computer skills:

  • Proficiency in MS Office suite required (Excel, Word, Visio, Outlook)
  • Technically savvy with the ability and desire to learn and use firm-specific programs

 Other Physical Requirements

Ability to wear Personal Protective Equipment (PPE) as needed (safety glasses, safety shoes, etc)
